Job Description:
We are seeking a self-motivated and highly energetic individual with a professional commitment to improve and increase efficiency within an environmental firm. The successful candidate must have good communication and organizational skills excellent word processing and proof reading skills, great attention to detail and a strong teamwork ethic. Previous experience within an environmental firm would be a strong asset.
Overall Responsibilities
- Will be responsible for the majority word processing including formatting and editing reports (small and large), proposals, letters, faxes, memos and general correspondence.
- Report preparation including formatting (Word, Excel and PowerPoint files), creating ‘pdf’ files from multiple file formats, and overseeing the hard copy production of final documents.
- Quality control – ensuring reports and documents follow company standards and ensure overall quality of document prior to client receipt.
- Filing, photocopying and faxing.
- Other duties, as assigned.
Additional Responsibilities
- Explaining work instructions to others, adapting guidelines to the assignment as necessary.
- Establishing and revising work methods, forms, formats and standards to improve operating efficiency.
- Coordinating the work of the department by determining priorities; scheduling, assigning and explaining work; and overseeing the proper completion of the work.
- Assuring that the work meets quality and production standards by reviewing the work for accuracy and monitoring output.
Requirements
- Minimum of 2 years word processing experience combined with secretarial and administrative experience, preferably with a consulting company.
- MUST HAVE an advanced working knowledge of Word and Adobe Acrobat, and be comfortable working on a multiple-drive network. Working knowledge or better of Excel and PowerPoint is required.
- Must have superior attention to detail.
- Strong communication and interpersonal skills.
- Excellent organizational, prioritization and electronic file management skills.
- Must be capable of handling shifting priorities within a demanding deadline-oriented environment.
